Terms & Conditions
1. About us
Wild Escapes Safari Travels Namibia (“Wild Escapes,” “we,” “us”) designs tailor-made travel itineraries and arranges bookings on your behalf with independent Namibian suppliers, accommodation providers, guides, and transport companies. We do not own or operate these services ourselves; we coordinate and arrange them for you.
2. Our role as your arranger
When you book with Wild Escapes, you are engaging us to design your itinerary and arrange bookings with third-party suppliers. We are not a tour operator packaging and selling travel under our own name. Once a booking with a specific supplier is confirmed, that supplier’s own terms and conditions apply to the portion of your trip they deliver (for example, a lodge’s cancellation policy, or a car rental company’s terms). We will share these with you as bookings are confirmed.
3. Making a booking
A booking is confirmed once we’ve received your written agreement to a proposed itinerary and the required payment (see Section 4). At that point, we begin arranging bookings with the relevant suppliers on your behalf.
4. Payment
- A planning fee applies per booking, to be confirmed at the time of your quote.
- A deposit and balance payment schedule will be set out in your individual booking contract.
- Payment methods and any card processing fees will be confirmed at the time of booking.
- Prices are quoted in the currency confirmed in your booking contract and are subject to change until a booking is confirmed and paid for.
5. Changes and cancellations
If you wish to change or cancel a booking, contact us as soon as possible. We will do what we can to assist, but changes and cancellations are ultimately subject to the individual policies of each supplier involved in your trip.
Our own planning fee is non-refundable once work on your itinerary has begun, unless otherwise agreed.
We are not liable for cancellation fees, no-show penalties, or refund conditions set by third-party suppliers.
6. Your responsibilities
You are responsible for:
- Ensuring you and everyone in your party have valid passports, visas, and any required travel documentation
- Meeting any health, vaccination, or entry requirements for Namibia
- Arranging your own travel insurance, which we strongly recommend given the remote nature of travel in Namibia
- Providing accurate information when booking (names as per passport, dietary needs, medical conditions relevant to your safety)
7. Our liability
We take care in designing your itinerary and selecting the suppliers we recommend and work with. However, because the travel services themselves (accommodation, transport, guiding, activities) are delivered by independent third-party suppliers, we are not liable for their acts, omissions, service standards, or failure to deliver services as expected. Our liability is limited to the arranging and advisory services we personally provide.
8. Force majeure
We are not liable for delays, changes, or cancellations caused by circumstances beyond our reasonable control, including but not limited to extreme weather, natural disasters, political instability, strikes, or government travel restrictions.
9. Complaints
If something goes wrong during your trip, please raise it with us or directly with the relevant supplier as soon as possible so it can be addressed while you’re still travelling. For complaints after your trip, contact us at bookings@wildescapesnamibia.com and we will do what we reasonably can to help resolve the matter with the relevant supplier.
10. Governing law
These Terms & Conditions are governed by the laws of Namibia.
11. Changes to these terms
We may update these Terms & Conditions from time to time. The version in effect at the time of your booking will apply to that booking.
