1. Who we are

Wild Escapes Safari Travels Namibia (“Wild Escapes,” “we,” “us,” “our”) designs and arranges tailor-made travel itineraries in Namibia. This policy explains what personal data we collect through wildescapesnamibia.com and through the enquiry and booking process, why we collect it, how we look after it, and what choices you have.

We arrange your trip by coordinating with accommodation providers, guides, and transport companies who deliver the actual travel services. This policy covers the data we collect and handle directly; each supplier involved in your trip has its own privacy practices for the data they hold once your booking is confirmed with them.

2. What data we collect

Depending on how far along you are in planning a trip with us, we may collect:

  • Contact details: name, email address, phone number, country of residence
  • Trip planning information: travel dates, group size, budget range, accommodation and activity preferences, dietary requirements
  • Booking details: passport information, date of birth, nationality, emergency contact details, any medical or mobility information relevant to your safety or comfort on trip
  • Payment information: billing details; card numbers themselves are handled by our payment provider and are not stored on our systems
  • Communications: messages you send us by form, email, or WhatsApp, and our replies
  • Website usage data: collected only if you accept analytics cookies via our cookie banner (see our Cookie Policy)

We only ask for what we need to plan and arrange your trip or respond to your enquiry.

3. Why we collect it

  • To respond to your enquiry and prepare a quote or itinerary
  • To arrange and confirm bookings with suppliers on your behalf
  • To keep you informed about your trip (confirmations, changes, travel documents)
  • To handle payments
  • To keep basic financial and business records
  • To improve our website, if you've accepted analytics cookies
  • To send occasional travel inspiration or updates, only if you've opted in, and you can opt out at any time

4. How we collect it

Mostly directly from you, through our website's contact and enquiry forms, email, or conversations during planning. Some technical data (like general website usage) is collected automatically through cookies, only with your consent.

5. Sharing your data

Arranging a trip to Namibia means working with other businesses who deliver parts of your journey. We share only what each one needs, and nothing more:

  • Accommodation providers (lodges, camps, guesthouses) to confirm your stay
  • Transport and vehicle rental providers for self-drive or transfer arrangements
  • Guides and local operators for guided or fly-in legs of your trip
  • Payment processors to handle your payment securely
  • Our accountant or legal advisor, where necessary for our business operations
  • Authorities, only if we're legally required to disclose information

We do not sell your data. We do not share it with third parties for their own marketing purposes.

Because we and many of our suppliers are based in Namibia, and our clients are based all over the world, your data will typically be transferred internationally as a normal part of arranging your trip. We take reasonable care to share data securely and only with suppliers directly involved in delivering your trip.

6. How long we keep your data

  • Enquiries that don't turn into a booking: kept up to 12 months, so we can follow up or pick the conversation back up if you return
  • Confirmed bookings: kept for the length of our relationship plus the period required by Namibian financial record-keeping requirements
  • Marketing opt-ins: kept until you unsubscribe

After these periods, we securely delete data we no longer need.

7. Keeping your data secure

We limit access to personal data to people who need it to plan or deliver your trip, and we use reputable, secure third-party tools for email, booking management, and payment processing. No system is completely risk-free, but we take reasonable steps to protect your information.

8. Your rights

Wherever you're based, you can ask us at any time to:

  • Tell you what personal data we hold about you
  • Correct any information that's inaccurate or out of date
  • Delete your data, where we don't have a legal or business reason to keep it
  • Stop sending you marketing communications

To do any of this, contact us at bookings@wildescapesnamibia.com. We'll get back to you as quickly as we can.

9. Cookies

Our website uses cookies. Essential cookies keep the site working properly; analytics cookies (Google Analytics) are only set if you accept them via our cookie banner. See our Cookie Policy for full details.

10. Children's privacy

We don't knowingly collect personal data from children, except where a parent or guardian provides it as part of a family booking.

11. Changes to this policy

We may update this policy from time to time as our business or tools change. Any updates will be posted on this page.
